Reading the dashboards

What every stat card and chart on the three dashboards means, and how to read them together. Open them from Dashboard in the sidebar. All charts filter by year, province, district, LLG, and ward.

Applicant dashboard

The intake picture — everyone who has applied, all-time.

Stat cards

Card Counts
Number of Applicants Everyone who has applied
Applicants with Active Pregnancy Applicants with a pregnancy on record
Applicants with Eligible Children Applicants with at least one age-eligible child
Number of Children All children across applicants

Charts

  • Monthly New Applicants — a line for the selected year; spot seasonal spikes.
  • Applicant Status — a donut of In Progress / Submitted / Approved / etc.; a large Submitted slice means work is waiting on Registration Officers.
  • Applicant Demography — a bar chart by location.
  • Child Age Distribution — ages in months, so you can see who's near the eligibility cut-off.

The workflow's health — is intake turning into enrolment fast enough?

KPI Read it as
Open applications In progress + submitted + in edit — the current backlog
Avg time to approval Submitted → Approved, for the year
Avg time to first payment Approval → first instruction, for the year
Approved count Approvals this year
Rejection rate Archived ÷ decided, for the year
Awaiting first payment Approved but not yet paid

Per-stage cards show, for each status (Draft, Submitted, Request for Edit, Approved, Rejected, Awaiting First Payment): the count, the average wait, and the oldest item still waiting.

Stage ageing bars break each stage into 0–7, 8–14, 15–30, and 30+ day buckets.

Where is the pipeline stuck?

A tall 30+ day bar on Submitted points at a review bottleneck; a tall one on Awaiting First Payment points at a payments bottleneck. Use it to decide where to push this week.

The active caseload — who's enrolled and who's leaving.

Charts include Active Demography, Status (active/inactive), Child Age Distribution, Updates Approved by category, Graduation Forecast (children vs pregnancies graduating each month), and New Payees per payment cycle.

Graduation forecast looks ahead

The forecast projects who will graduate in coming months from current ages and pregnancy dates — use it to plan caseload and budget, not as a payment figure.

A healthy program shows intake (Applicant) converting through a fast pipeline (Application Pipeline) into a growing, well-forecast caseload (Beneficiary). When one dashboard's numbers move, check the next one along for the knock-on effect.
